The CSU is lookingto hire a Receptionistfor March2026, with a start dateof March20or as soon as possible. The selected candidate must be available to work on Mondaysand Wednesdaysfrom 2:00 p.m. to 6:00 p.m. for the remainder of the Winter2026 semester.Additional hours maybe scheduledon Wednesdays from 10:00 a.m. to 2:00 p.m. In accordance with the Collective Agreement, preference will be given to qualified internal candidates. External candidates will be considered only if no internal candidates meet all position requirements.

RECEPTIONIST

Description and Scope

At the reception desk, we pride ourselves on being friendly and attentive active listeners. Regarding the work that we do, our focus is on problem-solving and resourcefulness. As a receptionist you are the first person that students meet and interact with when they enter the CSU office, so we count on you to make a good and lasting impression. Students will come to you for information on a broad range of subjects and rely on your guidance. In addition to helping students, you perform other duties within your role, including reserving and managing the calendar for office meeting rooms and other CSU spaces, accepting and filing mail and documents, and approving posters for the public boards.

Responsibilities

- Greet students coming intothe CSU office in a polite and pleasant manner and provide detailed information about the CSU (including its services, campaigns, events, projects, bursaries, process and policies), and general information about university and affiliated services. Answer in-person, over the phone and email enquiries, and make referrals when appropriate.
- Provide information and guidance on the student Health and Dental plan, explaining the coverage, how best to benefit from the plan, and how to navigate administrative processes such as claims and opt-outs, among others.
- Occasional support of students undergoing personal difficulties. In such cases, discretion and confidentiality must be maintained.



Aim to ensure that the student feels listened to and supported. Take appropriate next steps based on existing office protocol.
- Accept requisition forms, special project & bursary applications, space reservation requests, club registrations, and various other documents, while ensuringthat the information provided is complete before forwarding it to the appropriate executive and staff.
- Assist executives, staff and student groups with booking meeting rooms and information booths. Approve reservations for meeting rooms and information booths, and monitor reservation calendar.
- Approve postings according to established guidelines and inform students of the current policy for poster distribution.
- Send faxes, distribute mail and packages, and maintain inventory of materials and supplies for the office.
- Update documents in the reception area for the general public and CSU executives and staff. Photocopy and collate documents for further distribution.
- Sell event tickets and promotional items. Maintain petty cash box.
- Keep oneself informed on the general happenings within the CSU.
- Keep oneself informed on relevant University and CSU policies and procedures.

Essential Requirements

- Excellent speaking and writing skills in English. Strong communication skills that allow for free and comfortable conversation between yourself and others in French.
- Ability to convey information with clarity, accuracy, and professionalism.
- Strong people skills—approachable and good listener, with a passion for helping fellow students and the community at-large.
- Patient, empathetic, and able to work with the full spectrum of diversity within the Concordia community.
- Ability to research and practice resourcefulness.
- Knowledge of the various services offered by the Concordia University, the CSU, and the Concordia community at-large.
- Ability to take initiative, work autonomously, as well as collaboratively.




- Be able to work at the Loyola campus if needed.
- Computer literate, knowledge of Excel, Outlook, and search engines.
- Must be authorized to work in Canada (valid SIN card required).
- Must be a full-time undergraduate student at Concordia University.
- Must be able to work on Mondays and Wednesdays, 2pm to 6pm.

Asset(s)

- Experience providing front-line service in a fast-paced environment;
- Knowledge of Microsoft 365;
- Intermediary knowledge of Excel;
- Knowledge of Microsoft Teams and Planner;
- Strong user knowledge of the CSU Health and Dental Plan;

IMPORTANT NOTES

- Interviews will be held in person at H-711 on February 27 for internal candidates and between March 12 to March 19 for external candidates.
- If hired, you will begin on March 20 (or earlier, if possible) with a two-weeks knowledge-based training followed by a three-week on-the-job training. This onboarding process will allow you to experience the front desk environment firsthand, and become familiar with the flow of a typical work day. The training program is focused on learning in action. You will be supported by a trainer-colleague who will help you learn about your role, the CSU and the University at-large.
