Position Overview

R.J. General Builders, Inc. is seeking a dependable Construction Bookkeeper & Office Coordinator to help keep project finances, records, and administrative workflows running smoothly.

The position combines construction bookkeeping with coordination of project information and office processes. The right person will be comfortable managing financial details in QuickBooks Online, organizing documentation, and following up on outstanding items without needing constant supervision.

This is a remote contractor position that requires availability to overlap with California business hours.

Responsibilities

Financial Records and Project Cost Tracking




- Maintain bookkeeping records in QuickBooks Online and reconcile accounts.
- Track expenses by project and assist with job costing and cost reviews.
- Prepare customer invoices and progress billings and monitor outstanding receivables.
- Enter and organize vendor bills, monitor payables, and maintain payment records.
- Assist with cash flow tracking and routine financial reporting.

Project and Office Coordination
- Keep project documentation organized in Google Shared Drive, including contracts, invoices, and supporting records.
- Collect, organize, and track subcontractor compliance documents, including insurance certificates and licenses.
- Follow up on missing paperwork, pending invoices, and other outstanding administrative items.
- Support scheduling, calendar coordination, and routine project-related communications.
- Maintain written procedures and help make recurring office workflows more consistent.
