You'll own the daily inspection calls and scheduling for a US home-services company, making sure every permit gets closed out on time.
Remote · LATAM · Full-time · Independent Contractor · Early morning US Eastern shift (approximately 6–7 AM to 2–3 PM ET, with some flexibility)
Why this role exists
Our client is a plumbing and construction company in the US. They run a busy appliance installation side, where almost every job needs a permit and an inspection. Inspections happen after the work is done, but they protect the company's license and close out every permit. They also hold up the whole operation if they aren't closed.
There is a large backlog, over 150 inspections at different stages, and hundreds of new inspections and permits come in every week. The owner is building the system from the ground up: a customer booking portal that connects to the technicians' schedule. It will cut about 30 hours a week of back-and-forth with customers. By the time you start, the process will be organized and documented. You'll learn it alongside the owner and then run it.
You'll report directly to the owner. The team (owner, plumbing coordinator, office team) works together in a WhatsApp group. Everyone has their own role, and the work is a cascade: if one step isn't done, the next person can't do theirs. The owner needs someone they can trust to do the job without being chased.
What you'll own
- Call town inspectors within their narrow windows (often one hour, same day, e.g. 7:30–8:30 AM) to book the day's inspections
- Start every day with a checklist of who to call, for which inspection, and at what time
- Plan one or two days ahead so no call window is missed
- Track bookings in the spreadsheet and send booking links to customers
- Tell each inspector which jobs are scheduled and when, and check them off once confirmed
- Keep the owner informed when a stand-in is needed so plumbers aren't double-booked
- Work down the backlog by prioritizing the towns with the most outstanding permits, then close out town by town
- Handle both past inspections (the backlog) and new inspections and permits
- Navigate the rules of around 50 Massachusetts towns, each with its own process
- Tools: Google Sheets, WhatsApp, FieldPulse
Why this is interesting
- You'll learn a system built from scratch with the owner
- A new booking portal will automate much of the customer scheduling
- A small, close team where each role matters and your work is visible
- Autonomy and trust: the owner doesn't want to micromanage
- A real impact on the business, since closed inspections keep the company running
What we're looking for
- Highly detail-oriented, someone who notices what needs doing and adds it without being told
- Extremely punctual and reliable. Missing a call window means missing the whole day.
- Comfortable with Excel or Google Sheets (the whole system runs on spreadsheets)
- Computer-savvy and eager to learn new systems
- Proactive and self-directed: does the job without being checked on
- A confident, personable communicator, bubbly but with a backbone, who can handle (and win over) tough inspectors by phone
- Able to work an early US Eastern morning shift
- Fluent English for daily phone calls with US inspectors and customers
Bonus
- Previous permitting experience
- Experience in the trades or home-services industry
What success looks like
First 90 days
- You've learned the system and can run the daily call routine with little guidance
- The backlog is shrinking steadily
- No missed inspector call windows
Ongoing
- You run inspections independently, with no need for follow-up
- The team can trust that inspections are scheduled and closed without being checked
- You keep up with new inspections and permits, including peaks around US sale seasons (Black Friday, New Year's, Presidents' Day, tax-free weekends, July 4th)
