Schedule: Monday to Friday, 10:00 AM – 7:00 PM
Key Operating Deadline: Tuesdays at 5:00 PM CT (Strict weekly cutoff)
Position Summary
We are seeking a Data Entry & Payroll Verification Specialist to ensure caregiver hours, timesheets, client service information, payroll data, and billing records are accurately and consistently entered across all operating systems.
Accuracy and timeliness are critical, as this role directly impacts payroll processing, billing accuracy, and the utilization of authorized client hours. The primary responsibility is reconciling data in the primary scheduling and payroll platform against supporting systems and source documentation.
Key Responsibilities
Data Entry & System Verification:
Accurately enter caregiver and client service data across operating systems.
Compare caregiver timesheets against system records to verify dates, times, total hours, and services.
Identify and resolve missing punches, incorrect times, duplicate entries, and other discrepancies.
Hour Allocation & Audit:
Monitor authorized client hours to prevent overuse, underuse, or incorrect allocations.
Make required adjustments prior to weekly processing deadlines.
Maintain organized, confidential payroll and billing records.
Communication & Collaboration:
Perform daily data entry and reconciliation 5 days a week.
Communicate effectively with supervisors and office staff to clarify inconsistencies.
Maintain strict confidentiality of client, caregiver, payroll, and company data.
Weekly Processing Requirements
All data entry, verification, corrections, and adjustments must be completed no later than Tuesday at 5:00 PM CT to ensure records are fully prepared for weekly processing starting Wednesday morning:
Accounting for all applicable timesheets and verifying total hours.
Reconciling system information against source documentation.
Identifying and correcting all discrepancies before the deadline.
Required Skills & Qualifications
Accuracy & Attention to Detail: Exceptional precision when cross-referencing high volumes of data across multiple platforms.
Technical & Data Entry Skills: Strong computer proficiency and experience handling complex data management tasks.
Time Management: Ability to work independently and consistently meet strict weekly deadlines.
Problem-Solving: Proven skill in spotting inconsistencies, auditing entries, and resolving discrepancies.
Preferred Experience: Prior experience with home-care software, payroll processing, medical billing, scheduling, or healthcare administration systems.
Performance Expectations (KPIs)
Accuracy and completeness of entered data and weekly records.
100% compliance with the Tuesday 5:00 PM CT weekly processing deadline.
Perfect alignment between timesheets and system data.
Proactive identification and resolution of discrepancies before processing.
