About the Role
We are seeking an exceptionally capable, discreet, and highly organized Private Executive & Personal Assistant to support the Principal (Director) and his private affairs. This is a highly trusted position for someone who is comfortable operating in a fast-paced, international environment where priorities can change at a moment's notice. The successful candidate will be expected to anticipate needs, solve problems independently, manage complex logistics, and maintain absolute confidentiality. They should be equally comfortable coordinating a complex international itinerary, handling personal matters, liaising with senior professionals and service providers, and managing unexpected situations calmly and discreetly.
Key Responsibilities
Personal & Executive Support • Manage a highly dynamic calendar, appointments, meetings, commitments, and personal engagements. • Anticipate the Principal's needs and proactively manage priorities. • Coordinate activities across multiple time zones. • Prepare daily schedules, itineraries, briefings, reminders, and logistical information. • Handle confidential correspondence, communications, documents, and information. • Serve as a trusted point of contact between the Principal, advisors, executives, staff, and external service providers.
International Travel & Logistics • Coordinate extensive international travel, often with limited notice, such as private/commercial flights, hotels, ground transportation, restaurants, events,
and other travel requirements. • Coordinate visas, passports, travel documentation, memberships, reservations, and other travel-related requirements. • Be prepared to accompany the Principal during international travel when required. • Manage last-minute changes, cancellations, delays, and unexpected travel situations calmly and efficiently. • Assist with residences, vehicles, personal belongings, and other lifestyle-related logistics as required. • Handle sensitive personal matters with complete discretion.
Administrative & Organizational Support • Track expenses, invoices, reservations, and other administrative matters. • Coordinate with accountants, lawyers, financial professionals, household staff, assistants, and other advisors when appropriate. • Maintain contact databases and important personal information. • Follow established systems and create new processes where needed to improve efficiency.
The Ideal Candidate We are looking for someone who is:
- Exceptionally discreet and understands the importance of confidentiality.
- Fluent in both Spanish and English, with excellentwritten and verbal communication skills. Able to translate fluently, accurate and fast. • Highly organized with outstanding attention to detail.
- Extremely proactive — someone who anticipates problems rather than waiting for instructions.
- Calm and composed under pressure.
- Comfortable with constantly changing priorities and schedules.
- Highly resourceful and capable of finding solutions independently.
- Polished, professional, personable, and culturally aware.
- Comfortable interacting with high-level executives, advisors, hospitality professionals, household staff, and other VIP contacts.
- Technologically proficient and comfortable managing calendars, travel platforms, communications, documents, and digital systems.
- Adaptable regarding working hours, weekends, holidays, and international travel.
- Comfortable working in a private, highly confidential environment.
- Able to maintain professional boundaries while developing a high level of trust with the Principal. International Mobility Extensive international travel is an essential requirement of the position.
The successful candidate must:
- Be willing to travel internationally frequently and for extended periods when required.
- Be available to travel short notice.
- Hold a valid passport and be legally ableable to travel internationally.
- Be comfortable working across multiple time zones.
- Be adaptable regarding destination, duration, and schedule.
- Maintain a high level of energy and professionalism while traveling.
- Be prepared to accompany the Principal when required.
Required Qualifications
- University degree required: Public Translation — English, Communications, Public Relations, International Relations, Business Administration, Hospitality, or a related field.
- Other relevant university degrees may be considered based on the candidate's professional experience and qualifications.
- Previous experience as a Personal Assistant, Executive Assistant, Private PA, Executive Personal Assistant, Chief of Staff, Lifestyle Manager, or similar role.
- Fluent/native-level.
