Hiltzik CPA, PLLC is a boutique CPA firm serving U.S. individuals and businesses, with a focus on cross-border tax, Puerto Rico Act 60 compliance and real estate. The firm is growing, and we are looking for a Legal Operations Coordinator trained in law or legal practice to run client operations and help build the team.

This role suits someone whose legal training shows in how they work: careful with language, precise with documents and deadlines, and unwilling to send anything that hasn't been checked.

WHAT YOU WILL DO

- Manage client onboarding from first inquiry through signed engagement, document collection and handoff to the team
- Assign and track work across preparers and bookkeepers, and hold the team to deadlines and quality standards
- Help recruit, onboard and train new team members as the firm grows
- Write and maintain the firm's procedures, templates and checklists
- Communicate with clients clearly and accurately, and make sure every email, fee quote, link and attachment is correct before it goes out
- Identify what isn't working and fix the process, not just the instance

WHAT WE ARE LOOKING FOR

- A completed law degree (abogado/a or equivalent),



or a completed university degree with paralegal or legal operations experience
- 3 or more years in a law firm, accounting firm or professional services environment, ideally in corporate, tax, trusts and estates, or contracts work
- Professional English (C1 or above), written and spoken
- Consistent attention to detail: you check your own work before anyone else has to
- Ownership of results: you report your mistakes immediately and change how you work so they don't repeat
- A drive to grow with the firm. This is not a clock-in, clock-out role. When clients need something, you see it through.
- Full-time availability, exclusive to the firm, with no outside business or freelance work

DETAILS

- Remote, full time, with hours overlapping U.S. Eastern business hours
- Independent contractor engagement
- USD 2,800 to 3,500 per month, depending on experience, with a compensation review at 90 days
