Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m. U.S. Central Time (CDT/CST); 40 paid hours per week

Compensation: $2,253–$2,873 USD per month, based on experience

About the Opportunity

Our client is a U.S.-based home-care agency with a people-first approach to care. We’re looking for a Financial Operations Specialist to bring structure, accuracy, and visibility to the agency’s day-to-day finances.

You’ll work directly with the agency owner to organize QuickBooks, maintain reliable financial records, support billing and payroll workflows, and follow through on outstanding payments. This is a hands-on role for someone who works independently, asks thoughtful questions, and communicates proactively.

What You’ll Do

- Organize and clean up QuickBooks records, categorize transactions, log receipts, reconcile records, and flag discrepancies.
- Prepare and track invoices, monitor receivables and reimbursements, and follow up professionally on outstanding payments.
- Coordinate with insurers, state billing contacts, and software providers to resolve billing issues.
- Track service and employee hours, check supporting records, and assist with payroll preparation and ADP workflows.
- Monitor income, expenses, and bill deadlines; prepare clear financial summaries and highlight issues early.
- Learn the agency’s electronic health record and Illinois-specific billing systems.
- Protect confidential financial and health information and follow the agency’s HIPAA-related privacy and security procedures.
- Perform quality checks, maintain documentation,



and follow established approval and compliance procedures.
- Recommend improvements to billing, collections, expense tracking, and reporting.
- Provide concise end-of-day updates on completed work, outstanding issues, and decisions needed.

Qualifications

- A bachelor’s or master’s degree in accounting, finance, business administration, healthcare administration, or a related field.
- Demonstrated bookkeeping or financial operations experience, with strong hands-on QuickBooks skills.
- Experience organizing inaccurate or incomplete financial records.
- Experience with invoicing, accounts receivable, payment follow-up, payroll support, and financial reporting.
- Familiarity with ADP and proficiency in Microsoft Excel, Outlook, Teams, and Word.
- Advanced/fluent spoken and written English, including confidence discussing billing and payments by phone and email.
- Strong attention to detail, discretion, reliable follow-through, and verifiable professional references.
- Ability to learn unfamiliar software, accept feedback, and work independently.
- A quiet workspace, stable internet, and a suitable computer, headset, camera, and microphone.

Preferred Experience

- Supporting a U.S. healthcare or home-care organization.
- Healthcare billing, insurance reimbursements, electronic health records, and confidential patient information.
- Reconciling service-hour, payroll, billing, and accounting records across multiple systems.
