Role Summary
The Supply Chain Administrative Assistant provides high-level operational and administrative support to the Finance and End-to-End (E2E) Supply Chain Leadership teams. This role is responsible for driving operational efficiency through proactive calendar and travel management, end-to-end procurement processes, expense administration, and cross-functional Customer Engagement support. By seamlessly coordinating key executive logistics and vendor interactions, this position ensures smooth daily administrative operations and supports critical business priorities across departments.
Responsibilities
- Executive & Schedule Logistics: Direct and optimize daily schedules, high-priority meetings, cross-departmental trainings, and complex domestic/international travel itineraries for the Finance and E2E Directors.
- Procurement & Financial Administration: Oversee vendor management, purchase requisitions, PO creation and tracking, Corporate AMEX card administration, and timely processing of advance and expense reimbursements in compliance with company policies.
- Customer Engagement & Order Operations:
Support Customer Engagement activities by collaborating with the Order-to-Invoice (O2I) team on client order workflows, delivery slot scheduling, and service provider onboarding.
- Cross-Functional Stakeholder Coordination: Serve as a central administrative point of contact, facilitating alignment and communication between internal departments, executive leaders, and external service providers.
Required Qualifications
- Bachelor's degree
- 2+ years of administrative or executive assistant experience
- Intermediate/advanced English language proficiency (spoken and written)
- Proficiency in Google Workspace tools (Docs, Sheets, Slides, Calendar)
Preferred Qualifications
- Experience in the Consumer Packaged Goods (CPG) or Fast-Moving Consumer Goods (FMCG) industry
- Hands-on experience using SAP
- Experience managing client and/or vendor relationships with strong interpersonal and communication capabilities
