Purpose of the Role
The Internal Communications & Employee Experience Specialist owns the coordination and delivery of key internal communications, employee engagement, employee experience and event initiatives across the organization.
Reporting to the Senior Director, People & Culture (P&C), this person serves as a trusted operational partner who independently moves initiatives from idea to execution, coordinates stakeholders across functions and geographies, and maintains continuity as organizational transformation progresses.
The role requires strong execution and sound judgement: understanding business objectives, connecting information across initiatives, anticipating gaps, and moving work forward with appropriate autonomy.
The incumbent also contributes to management reporting, analysis and recommendations supporting P&C priorities.
Key Responsibilities
Internal Communications & Employee Engagement
• Manage the internal communications ecosystem, including Teams, the Intranet, editorial calendars and recurring campaigns.
• Build a reliable editorial pipeline by proactively sourcing information from directors, managers and teams across the organization.
• Translate business updates and organizational priorities into clear, engaging communications and campaigns spanning business news, events, employee experience, CSR and culture.
• Develop creative strategies to increase adoption and meaningful use of internal channels while reinforcing collaboration, accountability, initiative, and knowledge-sharing.
• Advise stakeholders on message, channel, audience and timing, and use engagement data and feedback to improve effectiveness.
Employee Experience & Lifecycle
• Oversee employee lifecycle processes, including onboarding, offboarding, mobility and organizational changes, ensuring SOPs are followed and exceptions handled with sound judgement.
• Coordinate HR, IT, managers and other stakeholders to ensure activities are completed end-to-end, including new hire welcomes and system updates.
• Maintain organizational charts and relevant employee information across internal systems.
• Identify recurring friction points and ownership gaps and improve manual processes toward more scalable, documented and automated workflows.
• Support Academy initiatives as needed, including program coordination, promotion, participant engagement, training logistics and measurement.
Event Management
• Manage internal and client-facing events end-to-end, from initial brief through execution and post-event evaluation.
• Translate business objectives into event plans, timelines, budgets and success measures.
• Coordinate venues, vendors, catering, invitations, registrations, A/V, online meeting tools, interpretation technology and other logistics.
• Manage stakeholders, vendors, budgets and risks proactively.
• Oversee onsite setup, attendee experience, troubleshooting and teardown,
with contingency plans for high-impact events.
• Ensure event execution remains anchored in its business purpose and intended impact.
• Define and track event KPIs such as participation, engagement, satisfaction, and follow-up actions.
• Provide event management support to Marketing as needed, particularly for client-facing, corporate, and strategic events.
Measurement, Surveys & Management Reporting
• Own the employee survey cycle from design and deployment through analysis and communication of results.
• Define KPIs for communications, events and engagement; analyze quantitative and qualitative data to identify patterns and opportunities.
• Prepare concise reports, dashboards and presentations, progressively presenting findings and recommendations to Directors and C-level stakeholders.
• Connect results to business objectives and recommend evidence-based adjustments.
Project & Stakeholder Management
• Independently manage multiple P&C projects and workstreams, establishing plans, milestones, dependencies and follow-up.
• Drive stakeholders toward decisions and deliverables, balancing urgent requests with strategically important priorities.
• Anticipate risks and downstream impacts, provide clear status updates and surface decisions requiring leadership attention.
• Maintain continuity of key P&C initiatives during the Senior Director's absence and represent ongoing initiatives credibly with stakeholders when appropriate.
• Take ownership of additional P&C and cross-functional priorities as business needs evolve.
