Our adecuado Sales Operations Specialist
We're looking for a detail-oriented, technically fluent operator who thrives on making systems reliable rather than on closing deals. The right candidate spots a broken process before it becomes a crisis, fixes it or finds the right owner fast, and gives the Head of Sales clear, honest, decision-ready information every week. About the role
We're looking for a Sales Operations Lead to own the day-to-day reliability of MEDLIFE's sales infrastructure — seller readiness, HubSpot hygiene, conversation-intelligence capture, lead routing, scorecards, playbooks, and blocker resolution — so sellers focus on selling, the trainer focuses on coaching, and the Head of Sales leads with reliable, decision-ready information.
What will your day-to-day look like at MEDLIFE?
- Own salesperson readiness and access: maintain one onboarding checklist (email, HubSpot, Avoma or equivalent, phone/messaging, Instagram, calendar, scripts, targets, queue) and verify the full workflow before a new seller works independently.
- Keep HubSpot healthy and disciplined — pipelines, permissions, fields, workflows,
and associations — flagging and coordinating the correction of missing owners, stale stages, overdue next steps, and duplicates.
- Run conversation-intelligence operations: verify that eligible calls are captured and linked correctly, prepare review queues, and resolve capture or sync failures.
- Turn approved priorities into workable seller queues, making sure every urgent inquiry or handoff has an accepted owner, a next action, and a due date.
- Deliver scorecards and decision support: a concise, accurate view of funnel activity through bookings that highlights the biggest constraint and the decision needed.
- Maintain the single source of truth for scripts, pricing, and process changes, and track whether actions agreed in huddles, 1:1s, and Level 10 meetings were actually completed.
- Own one issue list with owner, deadline, and impact: resolve routine blockers, escalate larger fixes, and drive measurable process improvements.
What will you bring?
- 3–5 years of experience in Sales Operations, Revenue Operations, or CRM Administration, ideally supporting a distributed or remote sales team.
- Bachelor's degree in Business Administration, Statistics, Industrial Engineering, Systems Engineering, or a related field.
- Strong, hands-on HubSpot expertise: pipelines, permissions, workflows, fields, associations, views, reports, routing, and data hygiene.
- Practical experience with Avoma, Gong,
or a similar conversation-intelligence platform (capture, permissions, CRM association, review workflows, troubleshooting).
- Experience operating sales systems for a distributed team and translating commercial priorities into simple, repeatable workflows.
- Strong diagnostic ability across tools, data, process, ownership, and adoption — with follow-through to a verified fix.
- Clear English communication, excellent follow-through, and sound judgment handling access and customer data.
- Comfort using responsible automation and AI for queues, exception detection, summaries, and reporting, while keeping human ownership and verification.
- Working knowledge of Google Workspace (Sheets, Docs, Calendar).
- Advanced / professional working proficiency in English.
Nice to have
- Prior experience in a nonprofit, NGO, or mission-driven organization.
- Experience supporting sales teams across multiple countries or time zones.
- Familiarity with Level 10 / EOS-style meeting rhythms and scorecard design.
- Basic data visualization or reporting-automation skills (e.g., Sheets or BI tools).
