Office & Customer Operations Coordinator

Open Line Plumbing Inc. is a growing residential and commercial plumbing company serving San Diego, California. We provide plumbing services ranging from service calls and repairs to larger plumbing projects and installations.

We are looking for a highly organized, proactive, and customer-focused person to help manage our daily office operations, customer communication, scheduling, CRM, and follow-ups.

You will work directly with our management team in the U.S. and communicate daily with customers, technicians, vendors, and team members.

What You Will Do

1. Answer incoming calls, texts, emails, and customer inquiries.
2. Respond quickly and professionally to new plumbing leads.
3. Schedule service calls, estimates, inspections, and follow-up appointments.
4. Manage and maintain our CRM and Housecall Pro.
5. Enter new customers, jobs, notes, estimates, and appointment information accurately.
6. Follow up with leads who have not yet scheduled.
7. Follow up on open estimates and help convert opportunities into booked jobs.
8. Communicate with technicians regarding schedules, job details, customer concerns, and changes.
9. Keep customers updated regarding technician arrival times and project status.
10. Help coordinate permits, inspections, vendors, and project documentation when needed.
11. Send estimates, invoices, payment reminders, and customer follow-ups.
12. Request customer reviews after completed jobs.
13. Maintain organized records and make sure no customer or lead falls through the cracks.
14. Prepare basic daily and weekly reports for management.
15. Help improve CRM processes, follow-up systems, templates, and automations.
16. Assist management with additional administrative and operational tasks as the company grows.

What We Need From You

1. Excellent English — written and spoken. Most communication will be with U.S. customers and our San Diego team.
2. Strong customer-service and communication skills.
3.



Extremely organized and comfortable managing multiple tasks at the same time.
4. Comfortable speaking with customers over the phone.
5. Strong follow-up skills — you don't wait for customers or team members to remind you.
6. Experience working with a CRM or field-service management platform.
7. Comfortable working with calendars, scheduling, email, spreadsheets, and online business tools.
8. Ability to stay calm and professional when dealing with urgent service calls or unhappy customers.
9. Strong attention to detail when entering customer, job, and payment information.
10. Ability to work independently while communicating consistently with management.

Nice to Have

1. Experience with Housecall Pro.
2. Experience working with a plumbing, HVAC, electrical, construction, or other home-service company.
3. Experience with U.S.-based customers.
4. Sales or lead follow-up experience.
5. Experience creating CRM automations, email/SMS follow-ups, and reporting.
6. Experience coordinating technicians or field crews.

Position: Full-time Monday to Friday (Working hours will generally align with our San Diego operations and will be discussed during the interview).

Location: Argentina

Compensation: Paid in USD
