Job Overview The Print & Mailing Project Manager serves as the dedicated program lead for a large U.S. public-sector account involving recurring, high-volume member and citizen communications. The program is primarily focused on commercial printing, large-print production, mailing, and fulfillment, with a smaller volume of specialized alternative-format services and limited translation.
This is a senior, client-facing project leadership role. The Project Manager acts as the bridge between the client, Avantpage teams, and external production vendors, owning requirements, schedules, estimates, budgets, proofs, vendor performance, risks, and communication. Specialized vendors remain responsible for plant operations, technical USPS execution, mail induction, and physical delivery.
The successful candidate combines operational judgment, technical aptitude, financial oversight, and calm stakeholder leadership. They can translate client needs into clear production and system requirements, coordinate complex workflows, and create an exceptional client experience in a fast-paced, deadline-driven environment.
Key Responsibilities
- Lead the dedicated client program end to end, with primary responsibility for high-volume commercial printing, mailing, fulfillment,
and large-print communications; coordinate lower-volume Braille, audio, and accessible digital deliverables in partnership with Quality and specialized vendors.
- Serve as the primary point of contact for clients, vendors, and internal stakeholders; lead client meetings, requirements discussions, status reviews, and issue-resolution conversations.
- Gather and clarify client requirements, then translate them into clear scopes, production specifications, workflow requirements, acceptance criteria, and documented handoffs.
- Develop and maintain project schedules, budgets, estimates, production plans, and delivery milestones; monitor project financials, timelines, risks, and performance metrics.
- Coordinate printing, mailing, fulfillment, and accessibility vendors, confirming ownership, dependencies, service levels, proofing steps, and delivery requirements.
- Partner with internal technology teams and external vendors to define, test, and implement project intake configurations, production workflows, data exchanges, and technical specifications.
- Oversee proofing and approval workflows, coordinating with Quality and subject-matter experts to confirm that deliverables and supporting documentation meet client requirements.
- Track vendor performance, project quality, turnaround times, and budget adherence; communicate progress and risks clearly to clients and internal leaders.
- Resolve project,
production, and vendor-related issues, drive corrective actions, and escalate technical or compliance risks to the appropriate subject-matter experts.
- Create and maintain project procedures, workflows, playbooks, and best-practice documentation to support repeatable, scalable operations.
Skills & Qualifications
- 3+ years of project, program, account, or client-services management experience, including end-to-end ownership of complex, external client-facing projects.
- Demonstrated experience managing commercial print, direct mail, mail fulfillment, healthcare or member communications, or comparable high-volume print-and-mail programs for U.S.-based clients.
- Experience coordinating external print or mailing vendors, including schedules, proofs, service levels, dependencies, issue resolution, and delivery risks
- Strong professional English, with the ability to lead meetings, clarify requirements, present updates, and manage challenging client or vendor conversations
Preferred
- Experience coordinating U.S. print and mailing operations through external production partners.
- Familiarity with USPS processes and terminology, including mail preparation, postage management, presorting, Intelligent Mail Barcode (IMB), NCOA, and CASS.
- Experience supporting healthcare, government, financial services, or other regulated industries.
- Experience with procurement, vendor management, contract oversight, or production-service sourcing.
