About the Role
- A U.S.-based residential real estate closing firm is hiring an experienced Real Estate Virtual Assistant and Transaction Coordinator to support sale transactions from file opening through post-closing.
- To qualify, you must have at least two years of experience working directly with U.S.-based firms in real estate transactions, title or escrow operations, mortgage processing, closing coordination, or real estate law firm operations.
- This is not an entry-level or general Virtual Assistant position. Training is provided on the firm’s systems and procedures, but candidates should already be comfortable working with document-heavy, deadline-driven U.S. transaction workflows.
- The role is focused on file accuracy, document review, order tracking, third-party coordination, follow-up, and keeping closing files moving. You will work directly with U.S.-based paralegals, attorneys, lenders, vendors, and an operations team.
- Based on your experience and strengths, you may be placed into one of two tracks:
- File Opening / Intake — opening new files, entering transaction data, and placing third-party orders
- Post-Closing — preparing closing packages, reviewing disclosures, and handling post-closing follow-ups
What You'll Do
- Open and update transaction files in Qualia or a similar case management platform
- Enter buyer, seller, property, lender, purchase price, and transaction details accurately
- Pull public records,
municipal records, registry records, and other transaction information as needed
- Place and track title orders, survey requests, Municipal Lien Certificate requests, and other third-party orders
- Review closing documents, title details, payoff information, and file details for accuracy
- Support closing packages, payoff letters, insurance items, and post-closing correspondence
- Track open items such as payoffs, checks, wire status, recordings, and missing documents
- Follow up with U.S.-based team members, vendors, lenders, and third parties until outstanding items are completed
- Perform work according to U.S. real estate closing procedures, documentation standards, and deadlines
- Flag discrepancies early when names, property addresses, financial figures, or documents do not match
What You'll Bring
- At least two years of experience working directly with U.S.-based firms in real estate transactions, title or escrow operations, mortgage processing, closing coordination, or real estate law firm support
- Experience handling files and documents through a structured U.S. transaction process
- Proven experience communicating professionally with U.S.-based clients, managers, vendors, or transaction teams
- Familiarity with U.S. business communication, documentation standards, deadlines, and remote-work expectations
- Sharp attention to detail when working with names, property addresses, financial figures, lender details, and file numbers
- Strong professional written English
- Practical judgment—knowing when to act, when to ask,
and when to follow up
- Comfort working with SOPs, structured workflows, and deadline-driven files
- Availability to work full-time from Monday to Friday during U.S. Eastern Time
- A reliable home office and stable internet connection
Important Qualification Requirement
Experience working with a U.S.-based company is required, but U.S. experience alone is not sufficient.
Experience limited to unrelated customer service, logistics, dispatch, sales, or general administrative work does not meet the transaction-experience requirement for this role.

- Experience with U.S. real estate closings, title companies, escrow teams, settlement teams, mortgage teams, or real estate law firms
- Experience as a Real Estate Virtual Assistant, Transaction Coordinator, Closing Coordinator, Title Assistant, Escrow Assistant, Mortgage Processor, Post-Closer, Real Estate Paralegal, or Closing Paralegal
- Experience using Qualia or a similar real estate, title, escrow, mortgage, or legal case management platform
- Experience reviewing closing disclosures, settlement statements, payoff statements, wire details, or recording documents
- Experience working remotely with U.S.-based real estate or legal teams
