Built for a Systems Brain
We run a high-volume creative department.
Every month, our team produces roughly:
- 300 videos
- 400 static creatives The team currently includes:
- 7 Video Editors
- 4 Graphic Designers
- 1 Art Director
We need someone to run the machine.
This role may be an especially strong fit for someone who has a touch of the tism, highly systems-oriented, extremely organized, and genuinely enjoys making complicated workflows clean and predictable.
We do not need someone who loves corporate meetings, office politics, or vague responsibilities.
We need someone who likes:
- Clear systems
- Clear ownership
- Clean ClickUp boards
- Knowing exactly where every project stands
- Spotting bottlenecks
- Organizing chaos
- Building repeatable workflows
- Making sure people actually do what they said they would do
Your Job
You own creative production. Every project needs an owner.
Every task needs a deadline.
Every person needs to know what they are working on.
Every client needs to know when their work is arriving.
If something is going to be late, you should know before the client does.
You will
- Run our entire creative production workflow inside ClickUp
- Assign work to designers and video editors
- Track team capacity
- Make sure nobody is overloaded or sitting idle
- Monitor hundreds of active deliverables
- Chase missing information, approvals, revisions, and overdue work
- Catch bottlenecks before they become emergencies
- Coordinate between account managers, creatives, the Art Director, and clients
- Tell clients when something will be late and give them a realistic new deadline
- Improve our ClickUp structure, automations, templates, statuses, and SOPs
- Run production meetings
- Keep timelines accurate
- Make the department more predictable every month
You Need Production Experience
You do not need to be the best designer or video editor. But you need to understand creative production.
You should understand things like:
- Video editing timelines
- Graphic design workflows
- Creative briefs
- Feedback rounds
- Revision cycles
- Client approvals
- Asset collection
- Quality control
- Production capacity
You should be able to look at a workload and understand whether the deadline is realistic.
You Need to Be Very Good at ClickUp
Not “I have used ClickUp before.” Actually good.
You should understand
- Custom statuses
- Automations
- Dependencies
- Templates
- Recurring tasks
- Dashboards
- Workload management
- Views
- Custom fields
- Due dates
- Task ownership
If ClickUp is messy, you should want to fix it.
Personality Fit
This is probably a good role for you if:
- You are very literal about deadlines
- You notice inconsistencies other people miss
- Disorder bothers you
- You like categorizing information
- You enjoy building systems
- You like knowing exactly what is happening
- You follow up when people forget things
- You are comfortable telling someone, “This was due yesterday. What happened?”
- You would rather solve a workflow problem permanently than keep putting out the same fire
- You prefer clear expectations over vague instructions
You do not need to be extremely outgoing.
You do need to communicate clearly.
When a client asks where their work is, we need a precise answer — not bullshit.
What Success Looks Like
The creative department should become boring.
That means
- Work is assigned properly
- Deadlines are realistic
- Projects rarely disappear
- Clients know what is happening
- Editors and designers know their priorities
- Late work gets caught early
- ClickUp reflects reality
- Production capacity is measurable
- Everyone knows what happens next
If production feels chaotic, you should want to organize it.
If 700 monthly deliverables sounds overwhelming, this probably isn't for you.
If it sounds like a giant system that could be organized, optimized, measured, and improved, we want to talk to you.
Schedule
Full-time. Monday to Friday.
You will be actively involved in production every working day.
