Midfield Realty is a commercial real estate brokerage looking for a detail-driven Transaction Coordinator to own the paperwork, documentation, and closing process behind every deal — from the moment we take a listing through the day it closes.

About the Role

You'll be the main point of contact for sellers on all things documentation — collecting financials, building the deal file, keeping the data room current, and steering each transaction through contracts, inspections, appraisal, and closing. This is a behind-the-scenes, high-trust role: sellers, buyers' lenders, title companies, and our internal team will all be relying on you to keep every deal moving and every deadline covered.

What You'll Do
- Serve as the seller's single point of contact for all listing and closing documentation.
- Collect and organize seller financials and property information — T12, rent roll, P&L;, CapEx history, leases, and public records data.
- Build the Listing Info Sheet, deal folder, data room, and CRM profile for each new listing.




- Schedule property photography and other early-stage logistics with owners.
- Keep the data room current throughout the marketing period and send sellers a weekly status update.
- Manage incoming Letters of Intent (LOIs) — coordinating proof of funds and getting terms to the seller.
- Once an offer is accepted, gather contacts for the title company and both parties' attorneys, confirm receipt of the earnest money deposit (EMD), and build a working relationship with the buyer's lender.
- During the inspection period, verify T12 and rent roll figures against receipts or tax returns, and coordinate every inspection with the buyer and broker.
- Schedule the appraisal and closing, and confirm the lender, title company, buyer, and seller all have what they need before closing day.
- Send closing wiring instructions to the title company and notify the internal sales team once a deal closes.
- Flag anything outside the seller's information sheet to the broker,
