Digital Project Manager

About the Role
We're looking for a digital project manager who can maintain a clear, accurate picture of the work: what's happening, who owns it, what depends on it, what's blocked, and what must happen next.
You understand the difference between recording what a client asks for and identifying what the client actually needs. You listen carefully, clarify ambiguity, protect approved scope, and help the team turn creative and technical complexity into an actionable plan. Ghost runs on a custom Notion-based project dashboard — you'll use and help refine this system rather than pile on unnecessary process.
What You'll Do
- Maintain project plans, tasks, owners, dependencies, milestones, risks, and approvals.
- Keep Ghost's Notion dashboard accurate, current, and useful.
- Translate meetings, emails, creative reviews, and technical discussions into clear action items.
- Confirm who owns each task, what "done" means, and when delivery is expected.
- Identify blockers, missing inputs, conflicting expectations, and schedule risks early.
- Distinguish client requests from the underlying business or user need.
- Prepare agendas, capture decisions, distribute concise recaps, and follow up on commitments.
- Coordinate work across designers, developers, contractors, client teams, and outside vendors.
- Track feedback across rounds and keep old, conflicting, or unapproved notes from re-entering the work.
- Maintain visibility into scope, budget, hours, and change requests.
- Escalate decisions that need senior judgment rather than making unsupported assumptions.
- Improve practical workflows when recurring friction becomes visible.
What We're Looking For
- Professional digital project-management experience across websites, applications, creative production, or integrated campaigns.
- Strong command of task ownership, dependencies, schedules, approvals, and delivery workflows.
- Excellent written and spoken English.
- Ability to write concise meeting notes, requirements, status updates, and action lists.
- Strong working knowledge of Notion or comparable project-management systems.
- Enough familiarity with design and software-development workflows to understand sequencing and ask informed questions.
- Ability to manage multiple active workstreams without losing details.
- Calm, direct communication and good judgment under deadline pressure.
- Strong follow-through and a willingness to chase unresolved items.
Nice to Have
- Experience inside a creative agency or product studio.
- Experience coordinating Figma-to-development workflows.
- Familiarity with Agile methods without rigidly applying process where it doesn't help.
- Experience with estimates, time tracking, utilization, budgets, and vendor coordination.
- Experience with QA, launch planning, content migration, or website production.
- Familiarity with Microsoft Teams, Outlook, GitHub, and client review tools.

How We Work Together
This is a fully remote role open to candidates outside the United States. You'll collaborate daily with a U.S.-based team, so a stable internet connection, a reliable working setup, and comfortable overlap with Pacific Time are important.
We're flexible on the engagement structure — we work with people as freelance / project-based contractors and, for the right long-term fit, on a monthly salary basis. We're open to both, and we'll figure out the arrangement that works best for you and for the project.
Initial assignments may be limited in scope so both sides can evaluate communication, craft, reliability, and working chemistry before expanding the relationship. Specific schedules, time-zone overlap, project duration, tools, and security requirements are defined per engagement.
