About the role

This is not a traditional corporate EA role. You will be the operating system behind one person's entire life — personal and professional — and the two are not separated.

I'm the co-founder of a fast-growing direct-to-consumer health brand. I run a team of ~60 people across multiple countries, travel frequently, and split my time between several time zones. My calendar, my commitments, my social life, and my company's priorities all compete for the same 24 hours. Your job is to make sure nothing drops, nothing conflicts, and I never spend energy on something you could have handled.

Roughly 60% of this role is personal and lifestyle management, 40% is business support. If you're looking for a role that ends at 6pm with a clean separation between work and personal, this isn't it. What you'll ownPersonal & lifestyle

- Own my personal calendar end-to-end: dance lessons, golf, workouts, meetups, social events, and personal commitments — booked, confirmed, and defended against conflicts
- Plan and coordinate social occasions: dinner reservations, event tickets, guest lists, gifts, birthdays, and follow-ups with friends and family
- Research and book restaurants, venues, classes, and experiences — including the ones I haven't thought to ask for yet
- Manage all personal travel: flights, hotels, ground transport, visas, and itineraries that actually account for time zones and recovery
- Order, source, and track personal purchases — from everyday items to one-off research projects ("find me the best X, three options, your recommendation")
- Handle personal admin: appointments,



renewals, subscriptions, memberships, deliveries, and household coordination
- Keep a running picture of my personal commitments and proactively flag when they collide with work

Business & executive support
- Own my business calendar: schedule, reschedule, prep, and protect focus blocks
- Prepare me for every meeting — agenda, context, background on who I'm meeting, and what I need to walk out with
- Manage my inbox: triage, respond on my behalf where you're confident, escalate what needs me
- Track my to-dos and follow-ups across the team and hold people (including me) accountable to deadlines
- Support hiring: draft and post job descriptions, screen applications, coordinate interviews, and manage candidate communication
- Draft documents, meeting notes, briefs, and slides
- Coordinate with team leads on my behalf to unblock projects
- Handle business purchasing, vendor coordination, and expense tracking

What we're looking for Non-negotiables:

- Absolute discretion. You will see everything — financial, personal, professional. Confidentiality isn't a policy here, it's the foundation of the role. An NDA is part of the offer.
- Proactive, not reactive. The best version of this role is one where I ask for things less over time, not more. If you need a detailed brief for every task, this will frustrate both of us.




- Ruthless organization. Nothing falls through the cracks. Ever. You track things I've forgotten I said.
- Excellent written English. You'll be writing as me. Your emails should be indistinguishable from mine.
- Comfort with ambiguity. Many requests will arrive as one line with no context. You'll figure it out, come back with options, and make a recommendation.
- Sound judgment about people. You'll be interacting with my team, my friends, my family, and external partners. Tone matters.

Experience:

- 3+ years supporting a founder, executive, or high-net-worth individual — ideally in a role that included personal as well as professional support
- Fluent with modern tools: Google Workspace, Slack, Notion, Airtable, project management software, and AI tools (you should already be using them daily)
- Experience coordinating across time zones and international travel
- Comfortable managing budgets, expenses, and purchasing
- Bachelor's degree or equivalent practical experience

Nice to have:

- Experience in e-commerce, DTC, or a fast-moving startup
- Recruiting or hiring coordination experience
- Additional languages
- Experience working with someone who travels or relocates frequently

- I'd rather you make a decision and tell me than ask me to make it.
- I'll give you direct feedback. I expect the same back.
- Availability outside standard hours is part of this role, within reason. We'll agree on clear boundaries — including protected time that's genuinely yours — and I'll respect them.
