Summary The Proposal Specialist 's objective is to leads/supports the development of high-quality, compelling proposals. This role combines strategic thinking, project management, content development, and operational execution.

The idóneo candidate has strong writing and organizational skills, experience producing proposals under deadlines, and is ready to elevate the agency's brand visibility through consistent marketing efforts. This position is responsible for managing the full proposal lifecycle, while also building and owning our client's marketing business development tools—including decks, brochures, develop content and others.

Essential Functions And Duties Proposal Strategy & Development

- Lead end-to-end proposal development, from intake to submission.
- Facilitate internal kickoff meetings, timelines, and content needs.
- Write, edit, and format proposal content aligned with Vida's brand voice.
- Coordinate with subject-matter experts to gather information.
- Maintain a library of templates, bios, case studies, and boilerplate language.
- Track proposal performance metrics and continuously optimize.
- Manage compliance with requirements and ensure on-time delivery.
- Manage all email inboxes and respond in a timely manner to all communication

Content
- Write and manage distribution of a quarterly client-facing newsletter.
- Collaborate and work with internal teams to source stories,



case studies
- Track deadlines, requirements, and outcomes.

Project Management & Collaboration
- Work across departments to gather content, coordinate reviews, and drive

deadlines.
- Partner with leadership to ensure messaging aligns with Vida's strategic priorities.
- Collaborate with partners (internal or external) for assets as needed (visual,

content, etc.).
- Communicates progress, risks, and needs proactively.

Education And Experience

- 3-5+ years experience in proposal development, marketing coordination, or similar

roles.
- Experience working in a marketing agency and/or consulting environment.
- Experience collaborating across departments and with outside organizations.

Knowledge, Skills, And Abilities

- Basic knowledge of
- Exceptional writing, editing, and storytelling skills.
- Strong organizational and project management abilities.
- Proficient with Microsoft Office Suite, Hubspot CRM required
- Experience with marketing platforms (Mailchimp, Canva, Hootsuite, etc.).
- Strong verbal and written communication skills, with the ability to make presentations and interact

with employees and managers at all levels.
- Detail oriented with ability to handle multiple responsibilities and priorities while meeting deadlines.
- Excellent customer service skills.
