In this role, you'll conduct intake calls, gather important case information, and ensure every individual who reaches out to our firm feels heard, supported, and treated with professionalism and empathy.

Position Type: Full-Time The Role

As an Intake Specialist, you'll be the welcoming voice of our firm and play a critical role in helping prospective clients take the first step toward legal support. You'll conduct intake calls, gather relevant information about potential matters, answer questions, direct inquiries to the appropriate team members, and ensure every client receives a professional, compassionate, and seamless experience from the very first interaction. Your professionalism, empathy, and attention to detail will help create a positive first impression while supporting an efficient and effective client intake process.

Key Responsibilities

Answer incoming telephone calls in a warm, professional, and courteous manner.

Conduct intake calls with prospective clients, gathering accurate and detailed information about their employment-related concerns.

Conduct preliminary intake interviews to assess each prospective client's matter against the firm's intake criteria and identify matters requiring urgent attention.





Accurately document client information, intake notes, and case details in the firm's case management and client relationship management (CRM) systems.

Maintain strict confidentiality when handling sensitive client information and ensure all communications and records are managed with discretion and professionalism.

Schedule consultations with attorneys and coordinate initial appointments to ensure a seamless client experience.

Clearly explain the firm's intake process, consultation procedures, and next steps, helping prospective clients understand what to expect throughout the process.

Provide exceptional customer service while ensuring every caller feels heard, supported, and treated with professionalism and empathy.

Screen and route calls and inquiries to the appropriate team members.

Accurately take and relay detailed messages.

Provide administrative support as needed.

Perform other duties as assigned.

Previous experience as an Intake Specialist, receptionist, front office representative, customer service representative, or in a similar client-facing role.

Strong computer skills and the ability to quickly learn new systems.

Excellent telephone etiquette and verbal communication skills.

Professional proficiency in spoken and written English.
