Responsibilities
- The Administrator, Account Transfers will be expected to ensure the timely and accurate processing of all Broker to Broker investment account transfers, as requested by Questrade clients.
- The Administrator is a critical member of our Back-Office Operations team. This role is responsible for the accurate and timely execution of broker-to-broker investment account transfer requests, ensuring compliance with industry regulations and internal policies.
- The Administrator will handle the end-to-end processing lifecycle of investment account transfers between Questrade and other Financial institutions, from initial submission to final asset reconciliation, directly contributing to a seamless experience for our clients.
- They will collaborate and communicate internally and externally to deliver fast, efficient and accurate details on account transfers, while ensuring regulatory compliance standards are maintained.
- Review, validate, and process incoming and outgoing client account transfer requests with a high degree of accuracy and attention to detail, and in line with regulatory requirements and Questrades policies.
- Review and distribute incoming transfers documents and other materials to coordinate the flow of information internally and with other departments and organizations.
- Input and verify data in core brokerage systems and industry platforms.
- Identify and resolve common transfer discrepancies, such as insufficient documentation, registration mismatches, or invalid account types.
- Proactively follow up with internal departments, external brokerage firms, custodians, and transfer agents to monitor transfer status and expedite outstanding items.
- Maintain organized electronic documentation and audit trails for all processed requests.
- Prepare, edit and proof‑read correspondences and transfer related documents.
- Attend phone, fax and email inquiries related to account transfers.
- Develop and maintain strong relationships with internal and external parties.
- Track transfer statuses and follow‑up on initiated transfers.
- Work collaboratively in a team and keep team leaders and supervisors informed.
- Compile and organize reports to support operational transfer activities.
- Maintain an automated filing system to add transfer data to internal databases.
- Assist in creating and maintaining transfers department procedures.
- Ensure departmental policies and procedures are complied with.
- Other ad hoc duties as assigned.
Qualifications
- College or University graduate or equivalent (preferably in administration and/or finance area).
- 2+ years of relevant work experience in an administrative, accounting, or operations role, preferably within a regulated industry (e.g., financial services, insurance, healthcare).
- Basic understanding of financial services compliance standards (e.g., KYC, AML).
- Experience working in a bank or fintech within an operations or client servicing role is an asset.
- A strong understanding of the investment industry is an asset.
- Excellent analytical and problem‑solving skills, with an extraordinary attention to detail.
- Strong critical thinking and ability to decompose complex concepts into simple and compelling messages.
- Curious and engaged, who takes ownership of their own learning journey by asking questions and seeking out new information.
- Strong communication skills and the ability to collaborate effectively.
- Proven experience with G‑Suite or Microsoft Office, especially Excel/Google Sheets.
- Positive attitude and strong client orientation.
- Excellent time management and organizational skills.
- Able to multitask, and prioritize and re‑prioritize workload as needed.
- Ability to work independently in a fast paced environment.
- Completion of Financial and/or investment certifications is highly valuable.
- Experience using complex financial software such as Broadridge BPS is an asset.
