Project Manager PMO Duties Responsibilities
1. Project Planning Execution
Develop, manage, and continuously update detailed project plans Gantt charts for real estate development projects.
Break down projects into actionable tasks, milestones, and deliverables across all preconstruction phases.
Ensure all timelines, dependencies, and critical paths are clearly defined and tracked.
2. PreConstruction Coordination
Coordinate all activities from land acquisition support through permitting and readytobuild status.
Manage the flow of information between architects, engineers, surveyors, and consultants.
Ensure all plans, documents, and technical requirements are complete and aligned before construction begins.
3. Resource Stakeholder Management
Identify and coordinate required resources internal teams, consultants, external vendors.
Act as the central point of communication between departments design, finance, permitting, and operations.
Maintain strong communication with partners, clients, and internal leadership.
4. Task Workflow Management
Assign tasks to team members and track completion in project management systems.
Monitor daily progress and ensure accountability across all stakeholders.
Implement structured workflows for approvals, document submissions, and reviews.
5. Permitting Documentation Oversight
Track and manage all permitting processes, submissions, and approvals.
Ensure compliance with local regulations, zoning requirements, and technical standards.
Maintain organized and uptodate project documentation.

Budget Cost Coordination PreConstruction Level
Support cost estimation processes and coordinate inputs from different departments.
Track budget alignment during planning phases and flag deviations early.
Coordinate with finance teams for feasibility and funding readiness.
7. Risk Management
Identify potential risks in timelines, permitting, design, or resource allocation.
Propose mitigation strategies and ensure proactive issue resolution.
Escalate critical issues to leadership when necessary.
8. Reporting Performance Tracking
Prepare weekly and monthly project status reports.
Track KPIs such as timeline adherence, task completion rates, and bottlenecks.
Provide clear updates to leadership on project progress and challenges.
9. Systems Process Optimization
Use and improve project management tools ClickUp, Gantt systems, CRM integrations.
Standardize processes and templates across projects for scalability.
Contribute to continuous improvement of PMO operations.
10. Execution Support Role HandsOn
Act as an executiondriven manager not just oversight.
Handle calls, followups, scheduling, and coordination tasks directly when needed.
Ensure nothing falls through the cracks during the entire preconstruction lifecycle.
