Job Purpose
Responding to RFPs is a critical aspect of Assurant’s business, and the proposal coordinator plays a critical role managing RFP intake, as well as response authoring, revision, completion and delivery.
Key Objectives
- Increase win rate by developing and executing clear, client-focused win strategies for every RFP.
- Ensure on-time, high-quality submissions that are fully compliant and tailored to client requirements.
- Strengthen competitive differentiation by delivering compelling, insight-led proposals that clearly articulate Assurant’s value proposition.
- Drive cross-functional accountability by aligning stakeholders to defined roles, deadlines, and deliverables.
- Improve proposal efficiency and cycle time through standardized processes, tools, and best practices.
- Enhance content quality and consistency by managing reusable assets and ensuring messaging alignment across responses.
- Embed governance and performance tracking using KPIs (e.g., win rate, turnaround time, quality scores) to continuously improve outcomes.
- Increase stakeholder engagement and effectiveness through structured collaboration, clear communication, and proactive issue resolution.
- Identify and implement process improvements to scale the proposal function and support business growth.
Responsibilities
Win Strategy & Proposal Leadership (30%)
- Own the development and execution of RFP win plans, ensuring each response is aligned to client priorities, competitive positioning, and Assurant’s strategic objectives.
- Translate complex requirements into clear, compelling, and differentiated narratives that increase probability of win.
- Challenge and guide stakeholders to ensure contributions are strategic, relevant, and aligned to the overall value proposition.
End-to-End RFP Ownership (30%)
- Lead the full lifecycle of RFP responses—from intake qualification through to final submission with clear accountability for quality, timeliness, and completeness.
- Ensure all requirements are met while maintaining a sharp focus on differentiation and client impact.
- Oversee the creation of integrated deliverables (proposals, presentations, personas, videos, etc.) that reinforce the win strategy.
Cross-Functional Leadership & Accountability (20%)
- Act as the single point of accountability across Marketing and enterprise stakeholders for all RFP activities.
- Align 10‑50+ contributors to clear roles, deadlines, and deliverables—holding teams accountable to commitments.
- Facilitate working sessions that drive decisions, resolve blockers, and maintain momentum toward submission.
- Capture and communicate clear actions, decisions, and ownership, ensuring follow-through and execution discipline.
- Proactively influence senior stakeholders to maintain focus on priorities and deliver high‑quality inputs on time.
Process Excellence & Continuous Improvement (10%)
- Own and evolve the RFP management process, ensuring scalability, efficiency, and consistency across submissions.
- Drive adoption of proposal management tools and best practices to improve speed, quality, and collaboration.
- Identify and implement improvements based on performance insights (e.g., cycle time, win rates, stakeholder feedback).
- Establish and track KPIs to measure proposal effectiveness and inform ongoing optimization.
Stakeholder & Relationship Management (10%)
- Build strong, trusted relationships across functions to enable effective collaboration and high‑quality contributions.
- Act as a strategic partner to stakeholders—anticipating needs, surfacing risks early, and driving alignment.
- Represent Marketing with credibility and clarity, ensuring a consistent and professional engagement model.
- Foster a culture of accountability, responsiveness, and continuous feedback across teams.
Required Experience, Skills, and Knowledge
- Three to five (3‑5) years of experience managing complex, multi‑pronged projects with 10‑50 stakeholders.
- Extremely organized with an instinct for thinking on one’s feet and finding solutions on the fly.
- Comfortable managing multiple workstreams simultaneously and collaborating with the multiple people and personalities behind the work.
- Comfortable and confident enough to communicate with senior colleagues on a daily basis, helping them focus as needed, and facilitating the timely delivery of their deliverables.
- Interest in growing into a role in project management and/or organizational dynamics, with a passion for finding efficiencies in the way teams operate on a day‑to‑day basis.
- Interest in marketing, business strategy and/or persuasive writing also helpful.
