About the Role We're looking for a remote B2B Marketing Project Manager to serve as the operational linchpin of our creative agency — owning project execution end to end and keeping a high-output team running with precision, accountability, and momentum.
In this role, you'll own project boards on Monday.com, manage estimates and invoices in QuickBooks, generate performance and profitability reports, and drive communication across teams and clients — ensuring nothing falls through the cracks and no one is left waiting on an answer. You'll streamline processes and leverage AI tools to eliminate the roadblocks that slow creative work down.
This isn't a role where you wait to be told what to do. Our team moves fast across multiple concurrent projects and needs a B2B Marketing Project Manager who shows up with presence — in standups, in client touchpoints, and in the day-to-day.
OUR IDEAL CANDIDATE brings 3–5 years of experience in project management or operations, preferably inside a design or video-focused production agency. You know how to navigate a project from kickoff to invoice and keep agency operations running without being asked twice. You use AI tools as a genuine part of your daily workflow — not just to experiment, but to automate, accelerate, and build smarter ways of working.
You communicate assertively, bring natural confidence to meetings and client interactions, and have the personality to hold a room — because you'll be working alongside filmmakers, designers, animators, and strategists every day, and the best work happens when the B2B Marketing Project Manager brings as much energy as the creatives do.
Performance Metrics:
Your performance will be measured by project board accuracy and timeliness, financial documentation quality,
effectiveness of cross-team communication, and contribution to agency utilization and profitability targets.
Reporting Structure:
As a member of our Operations team, you'll collaborate with our full team, as well as our Monday.com consultants. This position reports directly to the Director of Operations
.
You’ll be doing things like:
- Project Management: Owning execution across a high-volume portfolio of concurrent client engagements; building and maintaining timelines, work-back schedules, and Monday.com boards; coordinating deliverables and dependencies across internal creatives, freelancers, and external partners; flagging scope creep, timeline risks, and resource conflicts early.
- Client Relations: Serving as the primary day-to-day client contact; owning all communications end to end — routing, responding, and following up so nothing goes unanswered; preparing status updates, reports, and presentation-ready materials; ensuring every client touchpoint reflects well on the agency.
- Financial Management: Preparing estimates and invoices in QuickBooks Online; tracking budgets and expenses against actuals; managing cash flow through timely billing and collections follow-up; supporting financial reconciliations, month-end close, and utilization and profitability tracking.
- Reporting & Documentation: Maintaining project documentation and status logs across all active engagements; generating performance reports for programmatic ad campaigns; synthesizing data into client-facing and internal reports; supporting the Director Of Operations with recurring utilization and profitability analysis.
- Team Coordination: Showing up with presence and vocal engagement in weekly standups and check-ins; tracking action items and ensuring nothing stalls, gets missed, or goes unrouted; serving as the central operational point of contact across the Operations Team
; contributing to quarterly rocks and scorecard tracking.
- Process & Tools: Independently identifying bottlenecks and resolving them; proposing and implementing workflow improvements and process documentation; using AI tools daily to automate repeatable tasks, generate reports, draft communications, and build operational workflows; helping teammates adopt AI, project management, and financial tools to lift overall team capacity; maintaining organization across Google Drive and shared digital assets.
Skills & Qualifications
- 3–5 years of experience in a role like Project Manager , Operations Manager

, or Agency Project Lead
— preferably inside a design or video-focused production agency
- Solid financial acumen: utilization rates, bill rates, profitability, and cash flow fundamentals
- Hands-on experience with AI tools as a regular part of your workflow — automating repetitive tasks, drafting communications, building reporting systems, and optimizing processes (e.g.
LLMs like Claude or ChatGPT; automation platforms like Zapier, Make, or n8n; agentic tools like Claude Code, Cowork, or Replit)
- Hands-on experience with QuickBooks Online or comparable invoicing and financial tools
- Proficiency in Monday.com or equivalent project management platform
- Strong command of Google Workspace and async collaboration tools
- Familiarity with creative agency processes, terminology, and production workflows
- Data analysis and reporting skills
- Assertive and direct — you communicate with confidence, show up with energy in meetings, and don't wait to be asked
- Proactive by nature; you raise issues before they escalate and move work forward independently
- Visible and engaged in a remote setting; your team always knows you're on top of it
- Able to manage multiple concurrent projects without losing detail
- Adaptable and fast-learning; comfortable with evolving tools, processes, and client needs
- Discreet with confidential client and financial information
Bonus if you also have:
- Agency experience in design or video production
- PMP or Google Project Management certification
- Advanced Monday.com configuration or admin experience
- Vibe coding experience — you've built personal tools, automations, or apps to solve your own problems and aren't afraid to get your hands dirty with no-code or AI-assisted development
- Background in clean energy, sustainability, or technical B2B sectors
- Familiarity with our tools: Monday.com, QuickBooks Online, Google Drive, Roam, Claude/ChatGPT; comfort with Mac environments
Position Details
Working Hours:

Compensation:
~CAD $1,566–$2,447 (ARS 1.6M–2.5M) based on experience and results potential. Structured as a Consultant Agreement
