We are seeking a highly organized, data-driven Operations Specialist to oversee the end-to-end lifecycle of our inventory and fulfillment processes. You will be the bridge between our sales channels (Amazon and Shopify), our 3PL partners (Ecomm Ops), and our finance team.

This is a role for a process-oriented professional who thrives on accuracy—from auditing high-risk fraud orders to ensuring our monthly inventory balance is penny-perfect.

Key Duties & Responsibilities

1. Inventory Management & Demand Planning

Daily Stock Monitoring:

Conduct twice-daily inventory audits (8 AM & 3 PM CT) via 3PL sheets to ensure stock availability and forecast demand.

Demand Planning & POs:

Utilize Inventory Planner to draft Purchase Orders; coordinate with leadership for approval and manage the full PO lifecycle with vendors.

Month-End Reconciliation:

Maintain the Month-End Inventory Balance and oversee COGS (P&L;) reporting to ensure financial accuracy.

Inbound Logistics:

Create and manage Amazon FBA inbound shipments, coordinating with freight forwarders and ensuring 100% compliance with Amazon labeling/packaging standards.

Order Reconciliation:

Perform daily checks of "Unfulfilled Orders" in Shopify against 3PL reports; manually resolve mismatches and flag delays.

3PL Task Management:

Manage the EO Task System to process cancellations, address edits, and ID/KYC requests efficiently.

Redelivery & RTS:

Lead the Redelivery Program for "Returned to Sender" (RTS) units—identifying opportunities to reship to the original customer or reassign stock to new orders to optimize inventory.

1. Risk, Compliance & Troubleshooting

Fraud Mitigation:





Review high-risk orders (Tapjoy/Shopify Fraud) and make "Approve vs. Cancel" decisions based on SOP verification steps.

Amazon Troubleshooting:

Resolve Seller Central compliance issues, stranded inventory, and suppressed listings through diligent case management.

Claims & Defectives:

Maintain the Compensation List for lost packages and track defective units to recover fulfillment costs from partners.

1. Financial Ops & Accounts Payable

AP Management:

Receive and verify supplier invoices against POs; process payments via Brex and maintain complete documentation.

Shipping Cost Audits:

Monitor and record shipping rate fluctuations from logistics partners to ensure operational and financial planning alignment.

Qualifications
2+ years of experience in e-commerce operations, supply chain, or a similar analytical role.
Proficiency with Shopify, Amazon Seller Central, and inventory management tools.
Strong Excel/Google Sheets skills; comfort working with large data sets.
Detail-oriented with excellent organizational and problem-solving abilities.
Strong written and verbal communication skills in English (Spanish or Portuguese a plus).
Experience with 3PL coordination and fulfillment workflows preferred.
